Agree on staged delivery: a few photos and stories during the event for immediate posting, a selected set within a day or two for press and partners, then the full gallery and highlight video within about a week. Same-day delivery is possible but needs an extra person editing on site, which raises the cost.
What should I prepare for the team before the event?
Send the agency a minute-by-minute programme, a list of key people and speakers who must be photographed, and moments that cannot be missed, such as sponsor logos or an award presentation. Arrange access badges, power and stable internet if there is live streaming, and a person from your side to accompany the team and identify guests.
